Meetings in the Organizer Tool

Meetings are essential for networking events, as they help build meaningful business relationships. As an event organizer, you must configure and monitor all event meetings effectively.

The Meetings section in your Organizer's Tool gives you the ability to view, manage and join participants' meetings.

Depending on the matchmaking settings you have decided to apply, you can accept, cancel, schedule or return meetings back to the pending status on participants' behalf.

Grouped by status

Meetings will be displayed under Pending, Accepted, Scheduled and Canceled tabs at the top of the menu.

Pending tab

In the Pending tab, you can find all the pending meetings, that haven't been accepted by the receiver. You can accept or cancel these requests on behalf of the participant.

Accepted tab

In the Accepted tab, you will find the meetings that have been accepted and the time when they have been accepted. You can move these meetings back to the pending status, cancel them or, you can schedule them unless the matchmaking settings are Requests have to be accepted by participants and Participants schedule meetings themselves. In this case, the meeting is scheduled the moment when the receiver accepts it and chooses the time-slot.

If you have opted for the Organizers schedule meetings manually option, participants will only be able to accept or request the meeting, but you will define the time.

Scheduled tab

Under the Scheduled tab, you can find all accepted meetings that have scheduled times and locations. By clicking on Scheduled, you will reveal a drop-down menu with filtering options. These options allow you to filter meetings based on their status: past meetings, ongoing meetings (meetings now), and future meetings (next meetings).

You can also unschedule the meeting at any given time by clicking on three dots - Unschedule.

Canceled tab

The Canceled tab displays all meetings that have been canceled. A meeting will be classified as canceled if either the host cancels it or, in the case of a meeting with only two participants (host and guest), the guest cancels it. However, if there are at least two people who have accepted the meeting, it will not be shown in this tab.

You can display the meetings for a particular participant by searching for the participant's name in the search bar at the top.

For the hybrid events, you can filter the meetings by location.

Tracking Virtual meetings

For virtual events, the organizer can track the participants' status related to the scheduled ongoing meetings
