The more participants your event has, the harder it gets to manage them. To make it easier, you can invite supporting organizers to manage groups of participants.
To assign a certain group of participants to a supporting organizer, you can give them a responsibility and/or make them a support office. To do so, go to Organizers and click the orange Edit button on a supporting organizer.
A Responsibility determines which participants will the supporting organizer be able to manage and receive notifications about their registration, pending opportunities or attendance type change (provided that those checkboxes are checked).
Supporting organizers can be responsible for:
- Participants from a certain country
- Participants with a certain participant type
- Participants with a certain organization type
- Participants attending certain sessions
The Support Office can be understood as an additional kind of responsibility, but it works in a different way and independently from the actual responsibilities.
If you mark a supporting organizer as a Support Office, participants will be able to select that supporting organizer in the registration form to indicate that this organizer is responsible for them.
This means that the organizer will be able to manage their profile and will receive notifications about their registration, pending opportunities or attendance type change (provided that those checkboxes are checked).
Please note that if a supporting organizer does not have a responsibility or is not a support office, they will receive notifications for all participants.
Additionally, participants will see the contact information of their support office in their profile.
If a supporting organizer has a responsibility and/or is marked as a support office, they are able to filter their participants by selecting My Participants from the dropdown menu on the Participant list in the organizer’s tool.
Supporting organizers can be support offices and have responsibilities. If a participant registers and fills at least one criteria, the supporting organizer will get a notification.
For example, a supporting organizer has Germany as their responsibility and is a supporting office. A participant can be from Austria and select that support office. The supporting organizer will still get the registration notification, even though they are not from Germany.
