Scheduling and Request mode

This article explains how to set up the networking options for matchmaking on your event to ensure a seamless experience for your participants. The networking settings Request mode and Scheduling mode allow you to further define the way participants will book their meetings.

What are the options for managing meeting requests?

In the Request Mode section, you can choose between two options for how meeting requests are handled:

  • Approval: Participants must accept or decline meeting requests manually, giving them full control over their meetings.
  • Automatic: Meeting requests are automatically approved but can be canceled at any time by the participant.

How are meetings scheduled?

The Scheduling Mode defines how meeting times and locations are scheduled during booking. You can choose between two options:

  • Participants (Default): Participants schedule their own meetings during the booking period. This option is recommended for flexibility and ease of use.

  • Organizers: Organizers manually schedule the participants' meetings using the Scheduler's options, and the meetings details will only be visible to participants once the schedule is published.

Note: Keep in mind that if you select "Organizers" as the Scheduling mode, the Open Virtual Networking will be disabled
To enable Open Virtual Networking, the Scheduling mode needs to be changed to "Participants", since this feature is used to enable the participants to book meetings throughout a longer time period.

Which networking options can I enable?

To enhance participant engagement, you can configure the following networking options:

Include meeting blocks in the Agenda

When enabled, this setting will display meeting blocks in the event agenda, helping participants to see everything at once and plan their schedule accordingly.

Enable AI Matchmaking Recommendations 

When enabled, this feature suggests connections for participants based on AI-generated insights, helping networking be targeted and more effective.

How do I set a limit on meeting attendance?

At any time, you can specify how many participants can attend a single meeting. By default, the limit is set to 2, but you can increase it as needed.

Note: Keep in mind that there can be up to 8 participants in one meeting.

How do I set the meeting request expiration?

The meeting request expiration setting allows you to define how long meeting requests remain open before they expire. If you do not specify the expiration, meeting requests will remain open until they are accepted or rejected. 

To set an expiration time, simply click the drop-down menu and choose from the following options: No expiration, 15 minutes, 30 minutes, 1 hour, 6 hours, 12 hours, 1 day, 3 days, 7 days, 10 days.
