Achieving a seamless check-in process is vital to ensure a successful networking experience for your event participants. It allows for effortless monitoring of session attendance.
However, how can you eliminate the time-consuming task of searching through a paper participant list when someone wants to check in for a session? The answer lies in the b2match Entrance app. Whether you're organizing an in-person event or a hybrid one, b2match Entrance is the ideal solution for efficiently managing participant check-ins and check-outs.
How can I access b2match Entrance?
The b2match Entrance app is available for download on both Google Play and App Store. Once you've installed the app, simply log in using your b2match organizer account.
After you log in, you'll be presented with a comprehensive list of all events for which you are listed as either the main or supporting organizer. To streamline navigation, the events are conveniently categorized into three distinct tabs: Current, Future, and All.
To access the app menu, simply tap on the three horizontal lines located in the upper right corner.
From here, you can explore a variety of options, including accessing the full list of your events, connecting the app to a printer, finding legal information, providing ratings for the app, switching between light and dark themes, and logging out of the app.
Event Home page
To access the event home page, locate the event card within your list of events and tap on it.
Since events can have multiple locations, select the location where you are situated. The default location is typically labeled as "event."
If there are additional session locations specified in the Agenda, you can check participants in or out at those specific locations as well. This allows for enhanced participant tracking and ensures you always know the whereabouts of each individual.
To change your location, simply tap the Set your checkpoint location section.
Within the Locations section, you can view the number of participants who have checked in at each location.
The event home page also provides information on the total number of participants who have checked in, the total number of absent participants, and the event organizers.
Note: Tapping on the Organizers of the Event will redirect you to the Organizers tab, where you can contact the organizer via phone or email.
Participant list
The participant list showcases all registered participants for the event.
At the top of the list, you will find the selected event location.
The participant list is divided into two tabs: Absent and Checked In. This division allows for a clear distinction between participants who have already checked in at the selected location and those who have not.
By tapping on a participant's name in the list, you can view their check-in activities and see all the locations where they have been checked in so far.
Searching for a specific participant is made easy by typing their name in the search bar. Additionally, you can sort the list based on the following criteria:
- Last checked in (newest to oldest)
- Alphabetically (A to Z)
- Alphabetically (Z to A)
- Last registered (newest to oldest)
Activity history
The Activity History tab offers a comprehensive overview of all check-ins and check-outs during the event. It includes details such as the location and timestamp of each participant's check-in.
Individual participant histories can be viewed directly on the participant list. By tapping on a participant's name, a modal will open displaying their check-in activity.
The check-in data is also accessible through the Organizer's tool. By selecting a participant from the Organizer's tool participant list, you can find their check-in data in the Activities tab.
Printing Labels On-Site
