Participants are the heart and soul of any event you organize, playing a vital role in its success. They are the driving force behind our passion for organizing remarkable events.
Efficiently managing participants is essential for ensuring that both they and you, as the organizer, have a positive experience while achieving the event's goals.
In this article, we will explain where you can access participant information and effectively manage it, all in one place.
Where can I access the participant list?
The participant list contains details of every individual who has registered for your event.
Here, you can find information about their registration, status, entered details, and set event-related settings such as participation type, attendance, and visibility on the event website.
To access the participant list, click on Participants on the left sidebar of the Organizer’s Tool.
What does the participant list consist of?
At the top of the page, you will find several filtering options to refine your search.
In the first field, you can enter the participant's first or last name to locate them in the participant list.
In the second field, labeled Attendance, you can choose between On-site or Remote to filter participants based on their attendance type.
The third field, labeled Activity, allows you to select either Online or Offline to view participants who are currently active in either mode.
In the fourth field, labeled Registration, you can choose between Registered, Canceled, or Rejected to filter participants based on their registration status.
The fifth field, labeled Activation, provides the option to select either Activated or Not activated to view participants with the corresponding profile activation status.
The sixth field, labeled Meetings, allows you to choose between Available for Meetings or Not available for Meetings to filter participants based on their meeting availability.
Additionally, below these filtering options, you will find the advanced search feature. This feature enables you to create custom predefined filters according to your specific requirements.
On the right side of the participant list, you will find two buttons:
- Batch Actions button - allows you to perform various actions on a batch of participants simultaneously.
- Add New Participant - enables you to register a participant on their behalf.
The participant list is organized into predefined columns, set by default, which include the following information:
- ID - unique identification number assigned to each participant.
- Participant
- Organization Name
- Country
- Sessions - indicates the number of sessions the participant selected during registration.
- Meetings - displays the participant's availability for meetings and provides information about the number of meetings they have, along with their respective status (Accepted, Guest Meeting Pending Requests, Own Meeting Pending Requests).
- Activated - shows whether the participant's profile is activated or not. A ticked green box indicates an activated profile.
- Visible - indicates if the participant is visible on the participant list on the event website. A green eye icon signifies visibility.
- Marketplace - shows if the participant has added any opportunities to the Marketplace and displays the number of published opportunities.
Tip: In the advanced search feature, you can add or change columns to display different information. Additionally, you can modify the display order of columns by clicking on the arrows next to the column name.
Participants Profile Overview
The Participants Profile Overview provides a comprehensive display of various details about a participant.
To access this overview, click on a participant's row in the Participant list. The row will turn yellow, and the profile overview will open on the right side of the screen.
Missing Participants
If you are unable to locate a participant in the participant list in the Organizer's Tool despite receiving their registration email, there are two potential reasons for this:
- The participant deactivated their b2match account
- One of the other organizers rejected and deleted the participant from the event
Supporting Organizer View
As a supporting organizer, you have access to the complete participant list, but can only manage the participants you are responsible for.
To view your participants, look for the All Participants filtering option and click on it to reveal a drop-down menu.
Here, select My Participants.
This allows you to focus specifically on the participants assigned to you as a supporting organizer.
