What are attendance types?
In event management, attendance types mainly refer to onsite and online participation. Onsite attendance involves attendees being physically present at the event venue, while online attendance allows participants to join remotely through virtual platforms.
Understanding these two types helps event organizers plan effectively, cater to diverse audiences, and ensure a seamless experience for all participants.
How can I enable the attendance types?
Event organizers can choose to enable or disable the attendance type option. This decision determines if participants should indicate their preferred method of attendance when filling out the registration form.
Go to the Configuration.
In the Registration Settings, find the Attendance Type Settings.
Clicking on the toggle button next to it enables the attendance types for the event.
Finally, click on the Save button to save your changes.
Note: When a new event is created, the attendance type is disabled by default.
How does the attendance type influence participant profiles?
The attendance type settings can be enabled or disabled. Below, we outline how these options impact participant profiles:
Enabled Attendance Type
Participants need to choose between on-site and remote attendance when they register.
On-site participants can attend all types of sessions and meeting blocks. You will be able to set a limit of on-site participants that can register for the event, and define custom questions specifically for them.
However, remote participants can only attend online sessions and meeting blocks through video conferencing/calls.
The attendance type is a step in the registration process where the participant is prompted to choose how they will attend an event.
Disabled Attendance Type
Participants do not choose their attendance type on the event. They are all treated as on-site by the system, they can attend both in-person and online sessions and meeting blocks.
Note: This is the default attendance type setting when you create a new event.
What happens with the attendance type when there are tickets in the event?
The ticket selection define the attendance type of the participant in the registration. After purchasing a ticket, the participants won't be able to change the attendance type in the Event Settings.
Note: The option to change the attendance type will be entirely removed from the participant's Event Settings if they have purchased a ticket that specifies a predefined attendance type.
Modifying the attendance type status between enabled and disabled
When managing event attendance types, switching between enabled and disabled settings can impact both participants and organizers. Understanding these changes ensures a smooth experience for all parties involved, maintaining participant preferences while keeping organizers informed. Here's a breakdown of how these transitions work and what to expect.
- Disabled to Enabled: All participants will become on-site and will be able to change their attendance type themselves in the Event Settings of their participant profiles.
- Enabled to Disabled: Everything stays the same for the participants (their meetings, attendance, etc.). The attendance type information is removed from the Admin's Participants list.
Before proceeding with this action, organizers will receive a warning notification.
